Club Bylaws

Club Name

The name of this organization shall be the “Newfoundland & Labrador Beard & Moustache Club”; also known as “NLBMC”.

 

Purpose

The purpose of the NLBMC is to promote friendship amongst its members and to contribute to the betterment of our community through volunteering, charitable fundraising, and other community service.

 

Status as an Organization

The NLBMC is a group comprised of volunteers participating in a not-for-profit organization.

 

Membership

We welcome anyone and everyone to join our club (yes, that includes women and those without facial hair). People of all ages, genders, abilities, ethnic, sexual, religious backgrounds and abilities to grow (or inability to grow) facial hair are welcome. It’s as much fun being us as we make it look.

No dues or fees are required to become a member.

Our clubs core values are inclusivity and healthy community engagement. We expect our members to always exercise common courtesy, good conduct, and common sense.

Every member is considered an ambassador of the NLBMC and is expected to behave in a way that embraces our core values and purpose.

There is only one classification of member: Voting Member.

To be considered a Voting Member of the NLBMC, you will need to attend  club social events, and 2 volunteer events in a calendar year. Membership will then be ratified by club executive.

To maintain your status as a voting member you need to attend 3 volunteer events every 6 months.

Only Voting Members are eligible to hold office or cast a vote concerning official club business, or to attend monthly Business Meetings.

 

Executive Officer Responsibilities

President: oversees and assists with the duties of all officers.  This person will conduct the opening, facilitation, and closing of the monthly business meeting and act as a figurehead and spokesperson for the club in all public affairs.

Vice President: works closely with the President in all matters of club business. Specifically: facilitation of monthly business meetings and social events, while working with other directors and the general public to organize volunteer events. Can chair meetings in the absence of the President.

Treasurer: records and maintains all financial records of fundraisers and club accounts. Creates and manages club budgets. Create any ad-hoc financial reports as needed.  Will work with an outside accountant to create an Annual Financial Report. Can chair meetings in the absence of the President and Vice President.

Secretary: records minutes of each business meeting.  Will keep attendance record of business meetings, social events, voting, maintain member listing, and keep historical records. Can chair meetings in the absence of the President, Vice President, and Treasurer.

Director: Directors will round out the leadership of the club. These Directors will assist in club activities by Chairing ad hoc Committees, and leading other aspects as need be.

 

Executive Terms/Elections

All members of the Executive will be in office for a period of two years (March – February).

There are no term limits concerning the amount of times a person can hold an office.

Only Voting Members can be nominated for Executive roles.

Nominations will take place during the January Business Meeting and elections will take place during the March Business Meeting.

Candidates must be nominated by two Voting Members. Members cannot nominate themselves. Existing Executive Members can seek re-election.

If an office resigns or is asked to step down, the duties of that Officer will be handled by the Executive until the next Monthly Business

Meeting when a by-election can be held. Executive Members that are voted in a by-election will remain in that position for the balance of the term.

 

Meetings

The NLBMC will hold a monthly Business Meeting that is open to all Voting Members. Here club business will be discussed and all members will have an opportunity to have their voice heard and vote on club matters.

Majority rules in all club votes. In the event of a tie, the club President can make the tie-breaking vote.

 

Social Activities

The NLBMC will organize monthly social activities. All club Voting Members are encouraged to attend, but will also be open to the general public. These activities will range from pub nights to family friendly events.

Volunteer Activities

The NLBMC will organize monthly volunteer activities. All club Voting Members are strongly encouraged to take part but participation will also be open to the general public.
